Why the Time Is Right for Custom Software
Part 2: Real-World Problems Solved with Custom Software
In part one of this series we looked at the case against off-the-shelf software. If you missed it, you can read that here.
Custom software often sounds like a luxury—something only massive enterprises can afford. But at The Scarpetta Group, Inc., we’ve helped small and midsize businesses build tailored solutions that drive significant results, using the Claris Platform as the foundation. In this second part of our series, we examine how custom apps built with Claris FileMaker, Claris Connect, and Claris Studio have transformed operations in industries where off-the-shelf software consistently falls short.
Whether it’s manufacturing, healthcare, logistics, or professional services, the challenges may vary. Still, the story is the same: businesses trying to work efficiently with tools that were never built for their specific needs.
E-Commerce Inventory: Real-Time Visibility Across Warehouses
Managing inventory across multiple platforms and physical locations is no small feat—especially when your business depends on fast fulfillment and pinpoint accuracy. One of our e-commerce clients, who sells their products through Shopify and Amazon, needed a better way to keep their main warehouse and Amazon FBA stock in sync.
Previously relying on disconnected tools, the client struggled to maintain accurate inventory counts, track order fulfillment stages, and ensure quality control. We built a custom mobile inventory management system using Claris FileMaker Go that streamlined the entire process—from stock intake to shipping.
Staff label new inventory with system-generated QR codes upon arrival and scan it into the system as it enters the warehouse. When fulfilling orders, staff scan each item’s code again, automatically assigning it to the order for quality assurance and recall traceability. As staff pull and pack items, the system automatically updates their status, giving the office team real-time visibility without requiring manual input from the warehouse floor.
The platform also tracks backorders and updates counts across both the client’s in-house stock and Amazon’s fulfillment centers, ensuring accurate availability on both Shopify and Amazon. With everything integrated and running smoothly, the client now enjoys full operational transparency—and fewer headaches.
Education: Modernized Client Management
A U.S. Department of Education-funded program that provides accessible educational media and resources for students with disabilities—from early learners to high school—faced growing demand, particularly during the transition to remote learning. Their existing client management system no longer met their needs: tools had become outdated, processes had changed over time, and staff handled communications separately in a service desk system, making it challenging to track user activity in a centralized way.
To streamline operations and enhance marketing efforts, the organization explored several CRM solutions and ultimately selected Jarvis CRM, built on the FileMaker platform, which they already knew. Jarvis offered the flexibility to customize workflows, centralize client communications, and better align with the organization’s evolving internal processes. It also provided enhanced capabilities for managing outreach and tracking its effectiveness.
Since implementing Jarvis CRM, the organization has consolidated all aspects of client management and communication into one integrated system. Staff can now access user histories, manage tasks, and send both template-based and custom emails—all without switching platforms. During the increased demand brought on by the COVID-19 pandemic, the system helped the team respond more quickly and efficiently to service requests.
The result is a smoother, more responsive operation. What once required multiple systems and manual tracking now runs through a streamlined process, giving the team the tools they need to keep up with growing demand while continuing to deliver high-quality, accessible educational content.
NonProfit / Social Services: Automating Intake and Digital Workflows
When client care is at the heart of the work, the tools behind it need to be just as thoughtful. We tailored our CRM to support counseling and grief services with modules designed for session tracking, progress notes, and follow-up workflows—all built around how real teams operate.
Through Claris Connect, online intake forms flow directly into the system, where counselors review them and connect each one to an existing client based on matching details or create a new record through guided flows. Staff send documents securely to clients for signature using Dropbox Sign, keeping everything organized and accessible in one place.
The result is a cohesive, compassionate system that supports the full scope of care—from first contact to ongoing support.
Why Off-the-Shelf Couldn’t Compete
In each of these cases, the companies tried standard software first. But they found—like so many others—that generic tools often force you to adapt your business to the software rather than vice versa. Custom software built on the Claris Platform flips that script. The Claris Platform is designed to evolve with your workflows. It’s scalable, secure, and cloud-ready. With the low-code speed of Claris FileMaker, paired with automation from Claris Connect and the modern interface tools in Claris Studio, the barrier to entry is lower than ever before.
At The Scarpetta Group, we don’t just build software. We help businesses rethink how they work and then deliver the tools to support that vision. When your software is built around your people, processes, and priorities, everything starts to click.
In Part 3, we’ll look at how to get started with custom software correctly—including how to future-proof your investment, avoid common pitfalls, and choose a development partner who understands your goals.
